How to organise children’s activities without living in the calendar

Calendars are good at time and place. Family logistics usually contain more than both.

The easiest way to make a family calendar unusable is to force every reminder, bag and preparation step into it.

1. Keep the calendar for fixed commitments

Use it for the time and place someone needs to be: training, matches, lessons, clubs, appointments and pickups.

2. Put equipment somewhere designed for remembering

Kit, forms, water bottles and equipment are better as a list or as steps in a recurring Routine than as separate calendar appointments.

3. Treat travel and handovers as part of the plan

If one adult takes a child and another collects, make that responsibility visible. If back-to-back activities require changing in the car or leaving one early, the transition deserves its own place in the family flow.

4. Reuse what repeats

The same swimming bag should not need reinventing every Tuesday. The same club handover should not need explaining every week. Reusable lists and routines are where family organisation starts earning back time.

5. Put the plan where both adults can see it

A beautifully organised private calendar still leaves one person carrying the system. Shared household information is more useful than another perfect personal planning method.
